See our discussion of encryption.

Where possible it is our preference that the message be provided as text in the body of the email message, rather than relegated to a document attached to the email message.

If the email message has a PDF email attachment, it is our preference that the PDF file contain text that is able to be copied. Least preferred is that the PDF file be the result of scanning of an image.

A very large email attachment runs the risk of crashing your email system or our email system. Internet email systems were never designed for conveying very large email attachments. Other means should be employed for conveyance of very large files. One approach is to post the large file to a web page, and send us a URL link to the file. Another approach is to use Skype to send the large file.

RAR-formatted archive files are disfavored. Only some of our computers have software installed that is able to open an RAR archive. If an archive needs to be sent to us, we prefer that it be "zipped" rather that "RAR'd".

Faxes

We prefer email to faxes.

Postal or courier mail

We prefer not to receive postal or courier mail except, of course, where there is no other choice (for example delivery of an actual patent or trademark grant).

We prefer not to receive registered mail if the content could have been communicated by email.

Here are some of the considerations and goals that motivate our preferences.

We prefer to receive news sooner rather than later. This disfavors the use of postal or courier mail.

We wish to avoid registered mail for any message that could have been communicated by email. Registered mail incurs a substantial postage cost at your end, and we presume that the postage cost somehow finds its way into your invoices to us. Registered mail is also very cumbersome at our end, often requiring our people to wait in a long line at the post office.

We want our email communications to be secure against eavesdropping. (This is why we prefer email encryption.)

We do not like having to physically scan incoming postal or courier mail.

We store our communications electronically and we want to be able to carry out manual and automated text searching on our stored communications. (This is why we don't like image-scanned PDF files.)

We prefer to be able readily to view incoming correspondence with a minimum of delays and mouse clicks. (This is why we prefer that the important news be pasted into the body of an email message rather than relegated to an email attachment.)

We prefer to be able to copy and paste things from an incoming communication into a reply, so as to quote salient points directly from the incoming message into the reply.

Having said all of this, we appreciate that some things cannot be easily communicated except by means other than email.

An actual patent or trademark grant cannot be readily transmitted by anything other than physical delivery such as postal mail or courier.

We also appreciate that some things cannot be easily communicated in the body of an email message.

Some documents, such as invoices, cannot usually be conveniently be pasted into the body of an email message, but are readily communicated by email only as an email attachment. (It is nonetheless preferred that the document, if communicated as a PDF file, be in the form of a PDF containing text that can be copied, rather than a PDF file that is the result of a scanned image.)

We also appreciate that some PDF files are necessarily impossible to provide in a format that contains text that can be copied.

A document which you need to send to us, such as an Office Action which has been mailed to your office through the post from a patent or trademark office, may not be available to you as a PDF file containing text that can be copied. You may find that the only way to make it into a PDF file is by scanning an image of the document.
